Job Description - Part-time Administrator (Maternity Leave Cover - 21 hours per week)


Reports to:     Coordinator

Function of Position:  To oversee the overall financial position of the Galway City and County Childcare Committee.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

    Develop and maintain financial and administration systems and procedures on behalf of the Board of Galway City & County
       Childcare Committee
    Prepare monthly accounts in accordance with reporting procedures as required by all relevant funding agencies
    Maintain Internal Financial Procedures
    To Support and Supervise the work of the Assistant Administrator
    Prepare quarterly returns to Pobal
    Prepare returns to the Partnerships, HSE Development Boards and all relevant funding agencies
    Assist Childcare Providers with financial reporting
    Prepare the payroll weekly and file P30’s
    Consult with Accountant & prepare end of year returns and all the information for the Audited Accounts
    Reports on the status of projects to all relevant  funding agencies
    Report to the Co-ordinator weekly regarding financial accounts
    Report to the staff weekly regarding the status of budgets and actions
    Present financial report to the Operational Management Committee monthly
    Present financial report to the Board every two months including Bank Records
    Maintain the financial records for all relevant  funding agencies
    Prepare contracts for approved actions and oversee the paperwork attached to all action files
    Prepare and administer payments through business banking on line and approved cheques and do all lodgements and all banking for the
       company
    Filing all paperwork attached to all payments and returns.
    Prepare minutes of the Operational Management Committee
    Prepare minutes of the Board meetings
    Prepare minutes of the Directors meetings
    Assist in the preparation of the Action Plan & Annual Report
    To ensure that all documentation and files are maintained for the use and inspection by the Co-ordinator and company’s Auditor, and by
       the auditors of all relevant funding agencies
    Responsible for Stationery Supplies
    Confidentiality to be maintained at all times
    All other duties as they arise, as determined relevant by the Coordinator and Board of Galway City & County Childcare Committee

Person Specification:

•    6 years relevant experience
•    Excellent computer skills & working knowledge of MS systems
•    Good communication skills
•    Good administration skills
•    A good knowledge and experience of books of accounts and financial control procedures
•    Ability to establish and maintain office systems
•    Ability to work on own initiative & as part of a team
•    High level of attention to detail


Salary Scale will apply and will commensurate with experience, between
Pt 1 - €28,388 - Pt 6 - €37,642 (Administrator’s Salary full time)
